To access information in the Artsystems Pro User Guide click to choose from the list of the eight sections listed in the Table of Contents (on the left side of screen). Or utilize the Search function (at the bottom left of screen) to easily find topics in this User Guide.
The Basics section is recommended reading for beginners. Users will find detailed information about the Artsystems Pro interface and learn about the program's tools such as Customizing Spreadsheet Views, Creating Data Sets, working with Related Lists, and Backing-up Data.
The Preferences section helps users and/or Database Administrators configure Artsystems Pro for optimal use: opening databases, turning on Toolbar Captions, setting up User-Field Captions, setting Default Search Fields, setting up System Assigned Inventory Numbers, setting up next numbers for Transaction and Reference records, and more.
The Contacts section covers all aspects of the Contacts module for tracking client, vendor, locations and source information such as addresses, telephone numbers, tax ID numbers, client interests, mailing lists, purchases, payments, etc. This section includes instructions on entering new Contacts, new Artist records, editing and merging Contact records, and adding Types and Categories to Contact records.
The Works section covers all aspects of the Works module. This section includes detailed instructions on entering new Artist records and new Work records (for both unique and editioned artworks). It describes best practices for entering and maintaining artwork details, including tombstone information, location, provenance, condition, financial information and other important values (Retail, Insurance, Appraisal, User-Defined Values.). It recommends ways of sorting (by Type, Alt-Type, Country, Period, Style, etc).
The Editions section covers all aspects of the Editions module, including instructions on entering new Edition records. It is important to create your Edition record FIRST, and attach your image, before creating the Work records that will link to the Edition record. It also describes ways of tracking information about the different sets in the edition, how many editioned works are available, sold, or not for sale, etc.
The Transactions section covers all aspects of the Transactions module, including instructions on entering new Transaction records. It recommends ways of monitoring changes in the location of works and creating Transactions for tracking the exhibition and sale of artwork: Invoices, Consignments, Offers, Shipments, Exhibitions, Receive Payments, Make Payments, etc.
The References section covers all aspects of the References module, including instructions on entering new records and how to link exhibition and bibliographic information in Exhibition Catalogues, Books, Journals, Magazines, Newspapers, Other Visual Media, Personal Communication and Formal Papers with relevant artworks in inventory.
The Reports section covers all aspects of running standard reports in Artsystems Pro, customizing spreadsheet reports, and generating and associating support documentation (Artwork Infosheets, Condition Reports, Pro-forma Invoices, etc) with Works, Transactions, and Contacts records.
