Tip o' the Century

Back it up! Few experiences are as heartbreaking as losing hours, days, or months of work from a hard drive crash, other computer malfunction, or human error such as from overwriting or deleting files accidentally. Of course, we realize computers fail and people make mistakes, but the impact of lost computer files can be great — still, only as great as the amount of work recorded since the last backup.

The more we use computers the more likely we are to have already learned this lesson one way or another. But our experiences have shown that many people have not had the 'benefit' of this opportunity, and do not make appropriate provisions. That said, we cannot possibly recommend strongly enough (without seeming weirdly obsessed) that regularly scheduled backups must be made of important Artsystems data, correspondence, image files — whatever needs to be kept safe if and when something nasty happens.

A good overview of backup strategies can be found here. For user convenience, Artsystems software includes a feature that will create a single consolidated backup file that can, if desired, include images and corresponence as well as your Artsystems data. But this file, along with copies of other important files, must still be copied off of your computer to an external medium such as digital tape, CD, DVD, Zip disk, additional hard drive, online service, etc.

A couple of other things to consider: 1) Confirm regularly that your backups are actually successful. 2) If you have space on a server for all your important files and don't want to go to the trouble to back up each computer on the network, store it all on your server and back it up from there. Just make sure you copy to the server work stored on a laptop at the first opportunity, and backup this or any computer not on the network in an alternate fashion in the meantime.
